Executive Assistant

The Waterman Conservation Education Center (WCEC) in Apalachin, NY, is pleased to be hiring an Executive Assistant.

Since 1976, the Waterman Conservation Education Center has engaged and inspired the NYS Southern Tier Community through environmental education and outdoor recreational opportunities for people of all ages. Six nature preserves in two counties bring outdoor adventures close to residents’ doorsteps with opportunities for birding, hiking, meditation, photography, guided walks, and more! All Waterman trails are available to the public, free of charge, from dawn until dusk, 365 days a year.

The Executive Assistant position combines a requirement for excellent administrative and public relations skills with the performance of routine tasks necessary for the functioning, maintenance, and success of the Waterman Center.

The successful candidate will be an innovative and collaborative self-starter who possesses and demonstrates impeccable organizational skills. These skills include but are not limited to: efficient record keeping (both paper and electronic), word processing, print and website publishing, database management, and social media communications.

As the Center’s initial “face to the public,” the Executive Assistant will also possess and demonstrate outstanding verbal and written communication skills. The Executive Assistant will play a crucial role in ensuring the smooth operation of our organization by providing administrative support and managing various tasks and responsibilities.

The Executive Assistant will report to the Executive Director. All assigned responsibilities will be performed in close collaboration with the Executive Director.

Specific responsibilities include but are not limited to the following:

  • Supporting the Executive Director by managing routine and designated administrative tasks as assigned.

  • Greeting and welcoming visitors to the Center and assisting them as needed.

  • Managing the Center’s calendar of events, programs, and activities.

  • Maintaining ongoing access to and regularly supporting the Executive Director’s electronic work calendar in order to facilitate communication and coordination, streamline scheduling, and assist with task management and strategic prioritization.

  • Assisting with the planning, coordination, publicity, hosting, and public relations associated with the Center’s community programming.

  • Addressing and responding in a timely manner to all Center telephone calls, email correspondence, website communication, and social media communication.

  • Maintaining and expanding the Center’s website identity and online presence.

  • Immediately alerting the Executive Director and/or appropriate Board member(s) of high priority issues or concerns.

  • Coordinating and collaborating with volunteers as needed.

  • Maintaining databases related to Waterman membership, volunteers, fundraising, and registration platforms for events.

  • Maintaining inventory for the Center gift shop and managing sales.

  • Managing membership communication and renewals.

  • Publishing and distributing electronic, quarterly Waterman Newsletters and other communications as required.

  • Assisting with the care and feeding of the live animal ambassadors housed in the Center.

  • Processing incoming and outgoing mail.

  • Assisting with basic cleanliness tasks.

  • Completing other tasks and projects as assigned.

Compensation

Salary is negotiable and commensurate with experience.

Full-time employees are eligible for paid time off (six days), sick leave, and hazardous weather leave in the event of an Owego-Apalachin School District closure. Full-time employees can elect to participate in our SIMPLE IRA contribution plan.
